Manage Your Project Files With Folders

This new tool empowers users to streamline the way documents associated to their project are uploaded, organized and accessed. This feature is also compatible with a variety of file types.

Why is this functionality useful?

The new Folders feature revolutionizes how you organize, store, and access all your project-related documents, allowing you to do it all in one place. It also follows your project hierarchy configuration, creating a logical and navigable document archive. Whether you’re managing reports, drawings, or other file types, this functionality ensures that your files are consistently structured, easy to locate, and securely managed based on project permissions.


Feature Highlights:

1. Structured Hierarchy & Navigation

  • Deep Nesting: Create up to five levels of folders and subfolders to reflect your project’s organizational structure.
  • Breadcrumb Navigation: Move easily between nested folders using a clear breadcrumb trail at the top of the interface.
  • File Icons: Instantly recognize file types with distinct icons for each one.

2. Folder Structure & Root Level

  • Root View: The top level of your folder structure, where only folders can be created (no files can be placed here).
  • Top-Level Folder Creation: Users with project-level permissions can create top-level folders in the root.
  • Group Assignment: When creating a top-level folder, the creator can assign Groups from those they manage to control visibility.
  • Standard Hierarchy: Build and maintain a consistent structure with up to 5 nested levels.

3. Controlled Access and Advanced Permissions

  • Access to folders and files depends on your existing project permissions — so people only see what their permission level allows. Access is rigorously controlled and based on existing Site and Group permissions.
  • Permissions are shared automatically from parent folders to the folders inside them, saving setup time.
  • If needed, you can change permissions for a specific folder to allow or restrict access for certain teams.
  • Users might see folder names they don’t have permission to open, but they won’t be able to view the files inside.
  • Note on Restricted Access:

    • If you have access to a parent folder but not an immediate subfolder, you can see the restricted subfolder listed, but you cannot view any files inside it.

    • If you have explicit permission to a deeper-level folder (e.g., level 4), you can access it, but you still cannot view files in any intermediate, restricted parent folders.

4. Manage Your Files and Folders

  • You can upload any file type, then download, rename, or delete it as needed.
  • Folders can also be renamed or have their permissions changed (if you have edit rights).
  • You can delete folders if you have permission to everything inside them; otherwise, you’ll see an access restriction notification.

How Do I Use This Functionality?

  1. Go to the Folders section from your project dashboard.

  2. Start in the main folder view (root). If you have permission, you can create top-level folders here.

  3. Add groups or teams to control who can view or edit each folder.
  4. Build your structure by adding subfolders under the main ones to keep things organized.

  5. Upload files into the correct subfolders (you can’t upload files directly to the root).

  6. Use the path bar at the top to move between folders easily.
  7. Check or update permissions if you need to change who can access certain folders.

  8. Use available actions to download, rename, or delete files and folders as needed.
